Cost control

Run an AI recruitment pilot with measurable review outcomes

By MyValidCV · · 2 min read

A successful pilot should answer a decision: does this workflow improve a defined recruitment task at an acceptable cost and level of risk? A demonstration can introduce a product, but it cannot establish that result for your organisation. Choose a bounded vacancy or suitable fictional dataset and agree the measures before anyone sees the output.

Write a small pilot charter

Name the vacancy type, the people reviewing results and the tasks included. State what the system will not decide and how an applicant concern would be handled. The government’s responsible AI recruitment guidance discusses piloting and evaluation. Use it as a reference when planning the review, while choosing measures and controls that reflect the actual task rather than copying a generic supplier checklist.

Measure evidence quality and completed work

Record unsupported claims, missed relevant evidence, extraction failures and the reviewer time needed to resolve them. Compare the final reviewed application with the baseline process, not an unreviewed AI output with a fully checked human result. Include candidate updates and export preparation where those are part of the proposed workflow. Keep notes on sample limitations so a small pilot is not presented as a universal performance result.

Count the whole operating cost

Include software, processing, training, supervision and exception handling. Separate one-off setup work from recurring effort, but do not hide it. Use your own observed volumes and staff costs when projecting a larger campaign. If a trial has a scan allowance or expires, check those terms before starting; design the sample so staff can complete the review without unexpected usage or a rushed purchasing decision.

Decide to stop, revise or expand

Agree decision thresholds before reviewing results and retain a manual fallback. A useful outcome may be to change the person specification, improve document intake or train reviewers before extending the technology. If you proceed, name the service owner, the next review date and the conditions that would trigger a pause. Expansion should follow evidence from completed work rather than enthusiasm for a polished dashboard.
