Secure CV storage: a practical checklist for HR teams

By MyValidCV · · 2 min read

CV storage is a workflow responsibility as well as a technical one. A document may move through an upload form, processing service, shared report and downloaded export. Map those locations before deciding that a locked-down database has solved the problem. The aim is to know where candidate information is, who can access it and how exceptions are handled.

Map the document journey and owners

List each system that receives a CV or a derived report, including temporary conversion services and email attachments. Record the team responsible for access and the supplier responsible for hosting or processing. Ask whether the source document is needed at each step. Removing an unnecessary copy can simplify both access control and the later task of applying a retention decision.

Test access boundaries with realistic roles

Use fictional records to check what a recruiter, hiring manager and agency client can view and export. Test an account with no access as well as the intended account. NCSC’s cloud principles discuss customer separation, data protection and operational security. Treat a supplier’s statement as something to verify through appropriate evidence, rather than as a guarantee that your own permission settings are correct.

Protect transfers and handle exports deliberately

Check the method used to transfer documents and reports, how links expire where supported and who can forward access. Give exports a clear owner and purpose. Avoid placing candidate documents in public folders or embedding them in ordinary diagnostic logs. For routine monitoring, prefer application references and operational status to copying CV text into messages that may be accessible to a wider technical team.

Practise recovery and incident handling

Ask what happens after a lost device, a misdirected report or an account that should have been disabled. Identify who can revoke access and investigate. Test backup recovery with fictional data and confirm how expired records are prevented from returning to active use. Keep storage controls aligned with the retention policy; reliable recovery should not become an unexamined reason to keep every application forever.
